Terms
Terms of Service for Luna Rota
Effective Date: 20 October 2026
Welcome to Luna Rota. These Terms of Service ("Terms") govern access to and use of the Luna Rota service ("the Service"), operated by Elliott Digital Solutions LTD trading as Luna Loyalty ("we", "us", or "our"), by venues ("Venues") and by the staff and managers they add to it ("Users").
By using the Service, you agree to be bound by these Terms.
1. How the Service Works
- Venue Accounts: Each Venue has its own space on the Service. A Venue's data is kept in its own database schema, separate from every other Venue's.
- Roles: A Venue's owner and admins build and publish rotas and can see hours and costs. Staff can see the whole team's names and times for published weeks, and cannot see drafts or pay figures.
- Browser-based: The Service is used in a web browser. We do not guarantee compatibility with all devices or older browser versions.
- Pilot: The Service is currently in an invite-only pilot. Features and pricing may change as it develops.
2. Accounts and Security
- Account Responsibility: You are responsible for keeping your sign-in details confidential and for activity under your account. Tell us promptly if you suspect unauthorised access.
- Personal Use: Logins are for the person they were created for. Do not share them.
- Venue Responsibility: A Venue is responsible for the accuracy of the data it enters, for adding only people it is entitled to add, and for the actions of its owners, admins and staff on the Service.
3. Venue Responsibilities
- Rota Decisions: Each Venue decides its own rotas, shifts, pay and working arrangements. The Service helps you record and share them. It does not check them against employment, working-time or licensing law.
- Publishing and Changes: Staff see a week once it is published. Changing a past week asks for confirmation. Publishes, staff deletions, restores and the creation of staff logins are recorded in an audit trail.
- Snapshots and Restore: Owners and admins can create and download snapshots of the Venue's data. Only the owner can restore one, which replaces the Venue's current data and can sign users out. The Venue is responsible for deciding when to restore.
- Staff Data: The Venue is the data controller for its staff's data. See our Privacy Policy.
- Fees: During the pilot, billing is arranged directly with us. We will agree any charges with the Venue before they apply.
4. Acceptable Use
You agree not to:
- Interfere with the Service, exploit technical vulnerabilities, or bypass our security measures.
- Try to see another Venue's data or any data you are not permitted to see, including pay figures if you are a staff user.
- Use the Service for any unlawful purpose.
Suspension and Termination: We may, acting reasonably, suspend or end access to the Service if we suspect misuse or a breach of these Terms. A Venue may stop using the Service at any time by telling us.
5. Privacy and Data Protection
Information on how we collect, use, and protect personal data, and how responsibilities are divided between Luna Rota and Venues, is in our Privacy Policy.
6. Disclaimers and Limitation of Liability
- Service Availability: While we aim for high availability, the Service is provided on an "as is" and "as available" basis. We do not guarantee that it will be uninterrupted or error-free. We are not liable if a Venue or its staff cannot see a rota because of network outages, downtime, or a lack of internet access.
- Limitation of Liability: To the maximum extent permitted by UK law, Elliott Digital Solutions LTD shall not be liable for any indirect, incidental, special, or consequential damages, or any loss of profits or revenues, resulting from use of the Service. Nothing in these Terms limits liability that cannot be limited by law.
7. Changes to These Terms
We may update these Terms to reflect changes in our technology, the law, or our business. If we make material changes, we will notify Venues by email or through a notice on the Service. Continued use after changes take effect means you accept the revised Terms.
8. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes arising from or in connection with these Terms are subject to the exclusive jurisdiction of the English courts.
9. Contact Us
